AINOVAI is a UK-based digital product and automation brand. This policy explains what personal information we collect through this website, the Workflow Audit, Website Analyzer, Full Growth Audit and LeadFlow, why we use it and the choices available to you.
1. Information we collect
When you use our contact, Workflow Audit, early-access, Website Analyzer or Growth Audit forms, we may collect information you choose to provide, such as your name, email address, company name, area of interest, website URL and message. A Workflow Audit may also ask for your industry, team size, a description of the repetitive task, how often it occurs, approximate manual time, the tools involved, where the process breaks down and the outcome you would like to achieve. Please do not submit passwords, API keys, confidential customer records or unnecessary sensitive personal information in the Workflow Audit form.
For a paid Growth Audit, the intake may also ask for your main service or offer, ideal customer, primary website goal, what you want the audit to help with and optional competitor or reference website URLs. If you submit Growth Audit feedback, we may collect your comments about what was useful, what was missing, implementation interests and optional pricing or testimonial feedback. When you run the free Website Analyzer, we process the public website URL you submit and the readable public website content required to produce the requested analysis. If you create a LeadFlow cloud account, we process your account email and authentication information. LeadFlow cloud mode may store your Business Brain, lead records, lead status information and generated lead plans so they can be restored across devices. If you connect an external form or automation to LeadFlow, the lead information sent through that connection may also be stored in your LeadFlow workspace.
2. AI processing
When AINOVAI AI features are used, the information required for the requested analysis may be sent to the server-side AI service. For a Workflow Audit, submitted business-process information may be used with AI-assisted tools to help structure the process map, identify potential automation steps and prepare a recommendation, with human review before a commercial implementation proposal is made. For the Website Analyzer, processing can include readable public content from the page you submit and, where the submitted page contains too little readable text, a small number of public pages on the same domain. For a paid Growth Audit, AINOVAI may process a broader set of relevant public pages from the same website together with the business context you provide in the intake form. Customer-provided context is used to help prioritise the audit but is kept conceptually separate from observations about what is publicly visible on the website. For LeadFlow, the business context and lead enquiry required for the requested analysis are sent to the AI service. LeadFlow is designed to avoid sending a lead's email address to the AI model when generating a lead plan. Website import may also process text from a public website URL you submit in order to draft a Business Brain.
3. How we use information
We use information you submit to provide Workflow Audits, Website Analyzer, Growth Audit and LeadFlow features; generate or review requested analysis; understand automation requirements; prepare workflow maps and implementation recommendations; respond to implementation enquiries; prioritise and prepare paid Growth Audits; sync LeadFlow workspaces across devices; receive leads from integrations you configure; respond to enquiries; manage early-access requests; improve the service; and protect AINOVAI systems from abuse, spam and excessive automated requests.
4. Legal bases
Depending on the context, we process personal data because you have asked us to provide a service or respond to you, because you have consented to receive communications or optional analytics, or because we have a legitimate interest in operating, improving and securing our website and services.
5. Service providers
We use service providers to operate AINOVAI and LeadFlow. These currently include Netlify for website hosting, forms and serverless functions, Supabase for LeadFlow authentication and cloud data storage, OpenAI for AI analysis when AINOVAI AI features are used, Stripe for payments where a paid offer is purchased, Google Workspace for business email, and Microsoft Clarity for optional website usage analytics on selected public pages when a visitor has chosen to allow analytics. These providers process information under their own applicable terms and privacy arrangements.
6. Security and integrations
LeadFlow uses account-based access controls and per-business integration keys to separate customer workspaces and route incoming leads. Integration keys should be treated as confidential and stored only in trusted systems. If you believe an integration key has been exposed, you should rotate it from LeadFlow and update the connected integration. Internal Growth Audit and automation-production endpoints are not intended for public use and are protected separately from public intake forms.
7. International processing
Some service providers may process information outside the United Kingdom. Where required, appropriate safeguards are used by those providers for international transfers.
8. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing requested Workflow Audits, preparing or delivering implementation recommendations, preparing and delivering Growth Audits, responding to enquiries or feedback, maintaining requested communications, providing product functionality, meeting legal obligations or resolving disputes. In local mode, LeadFlow workspace data may remain in your browser storage. In cloud mode, saved workspace data is stored so it can be restored across signed-in devices.
9. Your rights
Depending on the law that applies to you, you may have rights to access, correct, delete, restrict or object to certain processing of your personal data, and to withdraw consent where processing is based on consent. You may also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO).
10. Cookies and analytics
AINOVAI does not use advertising trackers on this website. On selected public marketing pages, we offer optional Microsoft Clarity analytics to help us understand how visitors use the site and where the experience can be improved. Clarity is not loaded unless you choose “Accept analytics”. If you continue without analytics, the Clarity tracking script is not loaded. Your analytics choice is stored in your browser so we can remember it, and you can reopen the analytics choices from the website footer on supported pages to change your preference. Microsoft Clarity may use cookies or similar browser storage after analytics consent is granted. The Workflow Audit, Website Analyzer and Growth Audit pages may record lightweight product interaction events in the page; those events are only sent to Clarity when analytics has been allowed. The Growth Audit checkout flow may temporarily store limited context in browser storage to make the post-purchase intake easier to complete. LeadFlow uses browser storage where required for local workspace state and signed-in session continuity.
